How to lease office space

A commercially grounded starting point for defining needs, comparing options, and approaching a lease decision.

01

Build an internal brief before searching

Identify decision-makers, timing, location boundaries, target space range, work patterns, customer needs, security, accessibility, and budget assumptions. Decide which items are essential and which are negotiable.

02

Shortlist and tour consistently

Use the same questions at every property. Record suite condition, access, layout efficiency, natural light, shared facilities, building rules, parking or transit considerations, and work that may be required before occupancy.

03

Compare complete occupancy economics

An asking rate is not a complete budget. Establish its unit and basis, additional rent or operating charges, utilities, taxes where applicable, parking, insurance, deposits, improvement costs, professional fees, and future escalation.

04

Complete property and business due diligence

Confirm measurements, permitted use, building systems relevant to your operation, accessibility, signage, approvals, timing, insurance requirements, and the condition in which the suite will be delivered.

05

Review the lease with qualified advisors

Commercial lease documents create material obligations. Engage appropriate legal, financial, tax, brokerage, design, engineering, or construction advice for the actual transaction. This guide is planning information, not leasing or legal advice.
